Description of Duties: Under general supervision, provides secretarial and administrative support for the General Counsel and Legal Services staff. Duties include but are not limited to organizing and maintaining an effective filing system; conducting simple legal research utilizing the Internet and other readily available information sources; coordinating calendars and scheduling meetings and appointments for legal services staff; assisting in the administration of the appeals process by filing and docketing appeals, scheduling oral arguments, and maintaining electronic logs; typing legal documents and correspondence; copying documents; assisting legal staff in preparation for hearings or mediations; preparing reports for the State Board of Education and other entities; monitoring division budget and expenditures; assisting legal staff in responding to records requests; processing purchase orders electronically and ensuring timely payment; maintaining strict confidentiality of information; performing routine office functions such as answering telephones, ordering supplies, maintaining inventory, answering the phone, and greeting visitors. This is a fast-paced, active office environment which requires an organized individual who is comfortable multitasking and receiving direction from multiple managers.
Minimum Qualifications: One year of experience in a legal setting using computer software OR Two years of experience in an office setting using computer software.
Preferred Qualifications: Preference will be given to applicants who, in addition to meeting the minimum qualifications, possess one or more of the following: • Five years experience as a legal secretary providing support for multiple managers • Experience or training as a Paralegal • Strong computer skills including proficiency in Microsoft Office (Word, Excel, Access, and PowerPoint) • Experience with PeopleSoft Financials and/or Lotus Notes • Experience with transcription, dictation or shorthand • Experience filing briefs, motions and other documents with state and federal courts • Excellent oral and written communication skills
Salary/Benefits: Pay grade 11 – Annual salary range $24,322.01 (minimum) to $42,643.98 (maximum). Hiring salary range is dependent on current employment, training, experience, and available funding. Benefit options include life, disability, dental and health insurance; annual/sick leave; and Teachers Retirement or Employees’ Retirement.
